Running a business can be very difficult at times, especially when things get busy. This can include serving customers, dealing with finances, responding to emails, or just keeping your team on track. That is why it is advisable to find methods to free up that time so you don’t need to work 24/7.
If you are a business owner who feels overwhelmed with running your day-to-day operations, here are three practical methods to help free up your time.
Automate Repetitive Tasks
There will be some tasks that you have throughout the week that you do every day/week. This could be anything from sending appointment reminders, processing invoices, following leads, scheduling appointments, or responding to common customer questions.
Thanks to technology, a lot of these tasks can be automated. For example, emails can be automated with routine follow-ups when you haven’t received a response. There are even apps out there now that can also simplify your invoicing and send payment reminders.
Automation doesn’t have to replace the personal side of your business. It can remove routine administration, giving you more time to focus on customers, strategy, and new business opportunities. Just saving 15 minutes per day can save more than 90 hours over the course of the year.
Delegate What Doesn’t Need Your Attention
There are many business owners who often take on too much, yet there are tasks that they don’t need to deal with on a day-to-day basis. Doing this can actually hold you back because you are not doing other important tasks.
Find the time to make a list of the regular tasks that you do daily/weekly. Then consider whether or not you can get someone to do this for you. Additionally, there might be software that automates these tasks for you. Things like customer support, booking in appointments, and content creation.
If you don’t have employees to do these tasks for you, then decide whether or not this is a full-time job, and that will help you decide whether you need to hire someone for it. If you don’t need someone full-time, consider a phone answering service for your business. They’ll be able to answer your phone for a number of minutes per month to help free up some time in terms of answering the phone. Reminders for invoices can be automatically completed as well.
Protect Time for High-Value Work
Just because you're busy doesn’t necessarily mean you are productive. Days where you have a lot of minutes answering emails and doing minor tasks mean that your time is taken away from the more important tasks.
Consider blocking out dedicated periods in your daily schedule to ensure you are getting high-value work completed. Delegate to your employees to handle the smaller tasks to ensure these tasks are still completed.
During these periods, reduce distractions by turning off unnecessary notifications and don’t attend meetings that are not essential. Plan your marketing strategy and even review your business finances to ensure everything is fine.
To free up time, automate repetitive tasks, delegate certain responsibilities to other employees, and protect your time for the more important priorities.
